Is leaving the digital certificate with the accountant a safe practice?
Understand the essential precautions to ensure the protection of your information.
Many people already know that the digital certificate is an essential tool for conducting online operations. However, a question that may arise is: should I trust my digital certificate to my accountant?
It’s worth noting that, by recommendation, a digital certificate should remain in the exclusive possession of its owner. However, the practice shows that leaving it under the accountant’s responsibility is quite common.
This certainly happens because this type of device, used to verify the identity of a person or company, is necessary to carry out various fiscal and administrative operations securely, including:
- Submission of ancillary obligations: declarations such as EFD-Reinf, DCTFWeb, eSocial, EFD-Contributions, ECD, ECF, EFD-ICMS/IPI, and others require a digital signature to be transmitted.

- Issuance of invoices:: if the company issues NF-e (Electronic Invoice) or NFS-e (Electronic Service Invoice), the digital certificate is required to validate and digitally sign the documents.
- Access to public systems: accessing certain system environments such as e-CAC, Conectividade Social, among others, to consult tax and social security information also requires validation through a certificate.
In other words, in this computerized scenario, the digital certificate is required to digitally sign documents, validate the submission of declarations, access public services at the federal, state, and municipal levels, among other procedures.
And, most likely, the preparation and submission of such declarations and the execution of other tasks mentioned are under the responsibility of an accountant. For this reason, leaving the digital certificate with the accounting partner is so common. After all, it speeds up processes and facilitates the routine for both parties.
When is it safe to leave the certificate with the accountant?
Leaving the digital certificate with the accountant is safe, as long as certain precautions are taken. It is essential to rely on a qualified, trustworthy professional with a history of ethics in the market.
When this care is taken, the use of the digital certificate by the partner becomes a practical and efficient solution for fulfilling the fiscal obligations of businesses and individuals.
Additional precautions may include:
✅ Usage agreement: formally establish the rules for the use of the certificate.
✅ Access monitoring: periodically check for any unusual activities.
